Guidance for Submitting Deductible Reimbursement Claims

Reference this guide when submitting documents for your cargo deductible reimbursement claim. Our goal is to process your deductible reimbursement quickly and seamlessly so you aren’t left out of pocket. Beyond the basic required documents, additional documents may be requested by our team to verify the primary carrier’s claim settlement. As a Best Practice, submit all the documentation available to you.

HOW WE HANDLE YOUR DEDUCTIBLE PAYMENTS

At Cargo Deductible Plus, our mission is to make you whole by covering the deductible withheld by your primary cargo insurance or carrier. Here is how we process your payment:

  1. Primary Claim Approval: First, file and settle your primary claim with your freight carrier or primary insurance provider.
  2. Verify the Deductible: Submit your primary settlement documents to us showing the final payout and the exact deductible amount that was withheld.
  3. Rapid Reimbursement: Once your documents are verified, we issue payment directly to you (the shipper) for the exact deductible amount.
  4. Flexible Payment Options: We offer payment via ACH/Direct Deposit, Wire Transfer, or mailed Company Check to ensure funds reach your account as quickly as possible to help offset your losses.
REQUIRED FOR ALL DEDUCTIBLE CLAIMS
Basic Documents

To process your deductible reimbursement, we need to verify the original shipment and the primary claim settlement:

  • Primary Carrier Settlement Statement: The official document or letter from your primary insurance/carrier showing the total claim amount approved and the specific deductible amount withheld.
  • Merchandise Invoice: Purchase order, or Bill of Sale/Quote proving the original value of the goods.
  • Proof of Refund/Replacement: Credit memo, proof of refund, or replacement tracking number when a credit, refund, or replacement was issued to your customer.
  • Bill of Lading, Waybill, or Air Waybill: To verify the shipment details and freight routing.
ADDITIONAL DOCUMENTS

(May be requested at our team’s discretion, depending on the claim type)

Damaged Shipment Claims
  • Original Claim Photos/Video – The visual proof of damage you originally submitted to your primary carrier.
  • Repair Estimate – If the merchandise was repaired instead of replaced.
  • Scrap or Salvage Value Statement – If applicable to the primary carrier’s settlement.
Lost Shipment Claims
  • Written Statement of Non-receipt – From the consignee/receiver.
  • Tracking Information – A screenshot or printout from the carrier’s website showing the package was lost in transit.
PHOTOGRAPHY GUIDELINES (For Damage Verification)

If we need to verify the severity of the damage that triggered the primary claim, we will ask for the photos you took. Photos should clearly capture the damage to the goods, the packing materials, and the packaging.

  • Bad Examples: Close-up pictures of a damaged item alone do not suffice. We need to be able to clearly see the damaged item in context with the damage that occurred to the package.
  • Good Examples: Pictures of the item together with the box/packaging. We need to see the damaged item inside the packing materials, as well as the exterior damage that occurred to the package. Providing pictures of all sides of the exterior package is preferred.
